The template
Cancellation and no-show policy We keep your appointment time for you. If you need to change or cancel, please let us know at least [24] hours before your appointment. You can do this from the link in your confirmation email, or call us at [phone number]. Late cancellations: changing or cancelling with less than [24] hours’ notice has a fee of [$20]. No-shows: if you miss your appointment without letting us know, there is a fee of [$30]. It is due before your next booking. Running late: if you arrive more than [15] minutes late, we may need to shorten your service or move your appointment, and the late-cancellation fee may apply. We understand that emergencies happen. Talk to us and we will do what we can. Thank you for respecting our time and the time of our other clients.
Lines you can add
- Deposits (if you take them in person): “Some services need a deposit of [$X] when you book. It counts toward your service and is refunded if you cancel at least [24] hours before.”
- Children and guests: “Please let us know before your visit if you’re bringing a child or a guest.”
- Illness: “If you’re unwell, please move your appointment. We won’t charge a fee if you tell us before your appointment time.”
Choosing the numbers
- Notice period. 24 hours is common. For long services, such as color, extensions or a full set, 48 hours gives you time to fill the slot.
- Fees. A flat amount is easiest to explain. Some salons charge a share of the service price instead, such as half. Keep the no-show fee higher than the late-cancellation fee, so telling you is always the better choice.
- Late arrivals. Pick a number of minutes your schedule can absorb, often 10 to 15.
Using it in Salon Bell
- Open Settings → Booking rules.
- Set Free changes up to (hours before) to the same notice period as your policy. Clients can change or cancel online until then.
- Enter your Late cancellation fee and No-show fee.
- Paste your policy into Rules clients agree to before booking and save.
Clients see your rules in the last booking step and must accept them to book. Changes apply to new bookings; clients who already booked keep the rules they agreed to. Fees are collected at the salon; online deposits are coming soon.
Questions
Can I charge a no-show fee?
Many salons do. What matters most is that the fee is clear and the client agrees to it before booking. Rules vary by place, so this isn’t legal advice; check locally if you’re unsure.
Where do clients see my policy?
In Salon Bell, your rules appear in the last booking step, and the client has to accept them to book.
What if I change my policy later?
New bookings use the new rules. Each existing booking keeps the version the client agreed to.
Should I charge for a first no-show?
That’s your choice. Many salons waive the first one and charge after that. Whatever you choose, apply it the same way for everyone.
