How to cut no-shows at your salon

No tool stops every no-show. What helps is making the appointment easy to remember, easy to change, and clear about what a missed visit costs.

Free for 14 days. No card to start.

1. Send a reminder at the right time

Many no-shows are people who forgot. Salon Bell emails a reminder before every appointment: a day ahead by default, and you can choose anything from 2 hours to a week. For long services such as color or a full set, 48 hours gives clients time to cancel and gives you time to fill the slot.

The confirmation email also has an “add to calendar” file and a Google Calendar link, so the appointment can sit on the client’s phone with its own alert.

Salon Bell sends reminders by email only, not by text message.

2. Make changing easier than not showing up

Some clients skip an appointment because calling to cancel feels awkward. Every confirmation email has a private link to reschedule or cancel online, up to the cutoff you set. Inside the cutoff, the client is asked to call you. A client who loses the link can get a new one by entering their email on your booking page.

3. Set clear rules and show them before booking

In Settings → Booking rules, set how many hours before an appointment clients can change it for free, a late-cancellation fee and a no-show fee. Clients see your rules in the last booking step and must accept them to book. Each booking keeps the version the client agreed to, so changing your rules later doesn’t rewrite old bookings.

Fees are collected at the salon. When an appointment is marked as a no-show, the workspace shows the fee for you to review. Apply your rules the same way for everyone; many salons waive a first miss and charge the second.

Need wording? Use the cancellation policy template.

4. Ask for a phone number

Turn on Ask clients for a phone number in Settings and online bookings can’t be made without one. If someone is ten minutes late, you can call them and decide whether to wait or offer the chair to someone else.

5. Keep a waitlist

A cancellation only costs you money if the time stays empty. When a day is full, clients can ask to join your waitlist, and you get an email. When someone cancels, Salon Bell emails up to three clients waiting for that service, day and time of day, with a link to book; whoever books first gets the time. You can also open Waitlist and book someone yourself.

6. Watch for repeat no-shows

Mark missed appointments as no-shows on the calendar. The client’s history shows how many they’ve had, so the front desk can spot a pattern. For a client who misses again and again, ask them to book by phone, or to pay the no-show fee before their next appointment.

7. Deposits

Online deposits in Salon Bell are coming soon, through your own Stripe account. Until then, use the steps above and collect your fees in person. For long or expensive services, a quick call the day before also helps.

Questions

Does Salon Bell charge no-show fees automatically?

No. Your fees are shown to clients before they book, and you collect them at the salon. When you mark a no-show, the workspace shows the fee for you to review.

Can Salon Bell send text reminders?

No. Reminders and confirmations are sent by email. Clients can add the appointment to their phone’s calendar from the confirmation email.

What is a good reminder time?

24 hours works for most appointments. For long services, 48 hours gives you more time to fill a cancelled slot.

Can clients take a deposit online?

Not yet. Online deposits are coming soon and will be paid into your own Stripe account.
